This website, www.sprintvalley.com ("our site"), is operated by Sprint Valley Limited ("we", "us", "our"). We are registered in England and Wales under company number 10655097 and have our registered office at Minerva Mill Innovation Centre, Station Road, Alcester, Warwickshire, B49 5ET.

Information we may collect from you

We may collect and process the following categories of personal data:

Website visitors and business contacts: Information you provide when you correspond with us by phone, email or via our website, including your name, email address, phone number, and the content of your enquiry.

Research participants: If you take part in a consumer research interview conducted or commissioned by Sprint Valley, we may process your first name (as part of interview scheduling), video and audio recordings of your interview, and demographic or screening information provided to the research recruiter on your behalf. Participant recruitment is handled by specialist research recruitment agencies acting as independent data controllers. These agencies are responsible for obtaining your informed consent before your participation, including consent for recording. We do not receive or store your contact details — these remain with the recruitment agency.

Freelancers and contractors: If you work with us, we process your name, contact details, and information contained in your contract and project agreements.

Lawful basis for processing

We process personal data on the following legal bases:

Consent: For research participants, the lawful basis is your explicit informed consent, obtained by the research recruiter prior to your interview. You may withdraw your consent at any time without consequence.

Legitimate interests: For website visitors and business contacts, we process data on the basis of our legitimate business interests, including responding to enquiries and managing client relationships.

Contractual necessity: For freelancers and contractors, we process data as necessary for the performance of our contract with you.

How we use your information

We use personal data for the following purposes:

  • To carry out our obligations arising from contracts entered into between you and us

  • To provide you with information, products, and services that you request from us

  • To conduct and analyse consumer research on behalf of our clients

  • To create research deliverables, including reports and presentations, for our clients

Research recordings

Interview recordings are stored securely on encrypted cloud platforms. Short clips from interviews may be used in research presentations to illustrate findings for our clients, shared via secure, access-controlled links. Recordings are retained for 12 months from project completion and then permanently deleted.

Use of AI tools

Sprint Valley may use AI tools to support analysis and thinking. We do not input any personally identifiable information, recordings, transcripts, or client documentation into AI platforms. We maintain an internal AI Acceptable Use Policy governing these practices.

Who we share your data with

We may share your personal data with:

  • Research recruitment agencies who recruit participants and act as independent data controllers for participant contact data

  • Our clients who commission research — they may receive deliverables containing anonymised findings and, where consent has been given, video clips from interviews

  • Freelance researchers who work on specific projects under NDA and confidentiality agreements

  • Our managed IT and cloud service providers who support our secure infrastructure, under appropriate data processing agreements

We will not share your personal information with any third party for marketing purposes.

We may also disclose your personal data if required to comply with any legal obligation, or to protect the rights, property, or safety of Sprint Valley Limited, our clients, or others.

Where we store your personal data

Our data is stored on secure, encrypted cloud platforms. Some of our service providers are based outside the UK. Where data is transferred internationally, appropriate safeguards are in place (including the UK-US Data Bridge and Standard Contractual Clauses) to ensure adequate protection. We do not operate our own servers or data centres.

Data retention

  • Research interview recordings: 12 months from project completion, then permanently deleted

  • Research project deliverables: Retained until the client requests deletion

  • Website enquiries and business contacts: Retained for the duration of the business relationship plus 12 months

  • Freelancer/contractor records: Retained for the duration of the engagement plus 12 months

Your rights

Under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018, you have the right to:

  • Access the personal data we hold about you

  • Rectify any inaccurate or incomplete personal data

  • Erasure — request deletion of your personal data, including withdrawal of consent for research recordings

  • Restrict or object to the processing of your personal data

  • Data portability — receive your personal data in a structured, commonly used format

  • Withdraw consent at any time, where consent is the basis for processing
